Data Import Function

Q1: The memorial data in my Excel file cannot be imported to the e-Memorial Form (Data Import). Why and what should I do?
A:

It may be caused by the following problem(s). Please check and fix the problem(s) before importing of data again. If problem(s) persist(s), please close both the e-Memorial Form (Data Import) and Excel programs and try again.

Please also ensure that the workstation requirements as specified in Q2 under "General" of web version of e-Memorial Form have been complied with before using the e-Memorial Form (Data Import).

(b)The required column heading name(s) (e.g., "Solicitors_Code") cannot be found in Row 1 at Sheet1 of the Excel file, or the name(s) do/does not match with the template at Sheet1 of the Land Registry Excel file ("LR File").Check and ensure that Row 1 of Sheet1 contains each and every column heading name as specified in the provided template. Please refer to Sheet2 of the LR file here [for lodging solicitors] or [for government departments] for a complete list of column heading names.
(c)The required control data cannot be found in the control row (Row 2) at Sheet1 of the Excel file, or the data do not match with the template provided in the LR File.Check and ensure that Row 2 of Sheet1 contain all the control data as specified in the provided template. Please refer to Sheet3 of the LR file here [for lodging solicitors] or [for government departments] for a complete list of control data.
(d)Data in the data row(s) (starting from Row 3) for specific column heading(s) (e.g., "Registration_Fee") are in invalid/incorrect data format.

Check and ensure that the data in the data row(s) are in valid/correct data format. Please refer to Sheet2 of the LR file here [for lodging solicitors] or [for government departments] for a list of points-to-note on data format.

You may also use the "Check Data Format" function in the template at Sheet1 of LR file to find out the source of the problem(s).

Q3: How many data rows can be imported to the e-Memorial Form (Data Import) in web version at a time? Can I save all the memorial forms generated online under one single file?
A:

A maximum of 300 data rows can be imported to e-Memorial Form (Data Import) portal at a time (e.g., row no. 3 to 302, row no. 101 to 400 etc.). Each row of memorial data imported will produce one respective memorial form.

You can save up to 300 memorial forms under one single file.

Q4: How many memorial forms can be processed/previewed/printed at a time?
A:

You may process/preview/print a maximum of 300 memorial forms at a time.

Q5: How many Property Reference Number (PRN) can be entered in each data row of the Excel file and the e-Memorial Form (Data Import)?
A:

You can enter up to 5 PRNs in each data row of the Excel file. After importing the source Excel file into the e-Memorial Form (Data Import) portal, there is no limitation on the number of PRNs can be inputted.

Q6: How many numbers of parties’ details can be entered in each data row of the Excel file and the e-Memorial Form (Data Import)?
A:

You can enter up to 6 numbers of parties’ details in each data row of the Excel file. After importing the source Excel file into the e-Memorial Form (Data Import) portal, there is no limitation on the number of parties’ detail can be inputted.

Q7: What can I do if I do not want to preview or print a particular memorial form?
A:

You may skip to enter the Excel row number of the particular memorial form in the “Select form to process by Excel number” field under Step 2 on the “Data Import” page.

Q8: How to show the unique serial number on the supplementary sheet(s) of the memorial form(s)?
A:

By ticking the "Show the unique serial no. of individual form(s) on supplementary sheet(s)" box under Step 2 on the “Data Import” page of the e-Memorial Form (Data Import), the unique serial number will be shown on all supplementary sheets of the selected memorial form(s).

Q9: When using the web version of e-Memorial Form (Data Import), how can I use the auto-fill function to retrieve the address/undivided shares/lot information of the Property Reference Numbers (PRNs) concerned from the IRIS Online Services when the memorial data in the Excel file are exported to respective e-Memorial Forms?
A:

You should click the "Get Address/Shares/Lot" button under Step 2 on the “Data Import” page of the e-Memorial Form (Data Import) to indicate you would like to retrieve the address/undivided shares/lot information of the inputted PRNs from the IRIS Online Services.

Q10: How many Property Reference Numbers (PRNs) can be retrieved from the IRIS Online Services and auto-filled to each of the web version of e-Memorial Form (Data Import)?
A:

You can enter up to 5 PRNs for each data row of the Excel file and each row of memorial data imported will produce one respective memorial form.

If you opt to auto-fill the address/undivided shares/lot information of more than 5 PRNs in the e-Memorial Form (Data Import), by clicking the “Edit” button after the generation of the preview form, the address/undivided shares/lot information of a maximum of 150 PRNs can be retrieved from IRIS Online Services and auto-filled to each e-Memorial Form.

Q11: Can I know if there is any e-Memorial Form (Data Import) containing Property Reference Numbers (PRNs) for which the address/undivided shares/lot information cannot be retrieved from the IRIS Online Services?
A:

Yes. After the data retrieval process has completed, error message will be prompted to alert you when there is/are Excel row no.(s) containing PRN(s) for which the address/undivided shares/lot information cannot be retrieved from the IRIS Online Services.  The error message also appears on the individual memorial form on the “Preview & Print” page.

You should review the online memorial form and input relevant information accordingly.

Q12: Do I have to process all rows of memorial data that contain in Sheet1 of the Excel file?
A:

No. You can specify the row (i.e. Excel row no. 5) or the specific range of row(s) (say Excel row no. 3,6, 9-12) that you would like to process in the “Select form to process by Excel number” field under Step 2 of the “Data Import” page.

Q13: How can I know if the source Excel file has been successfully imported into the e-Memorial Form (Data Import)?
A:

An information message “A total of xxx row(s) of data have been imported from the Excel file.” will be shown when the source Excel file is successfully imported in the e-Memorial Form.

Q14: If I opt to retrieve the address/undivided shares/lot information of the Property Reference Numbers (PRNs) concerned from the IRIS Online Services, how can I know if the retrieval process has been completed?
A:

A progress bar will be displayed showing the progress of information (i.e. address/undivided shares/lot information) being retrieved from the IRIS Online Services.

Upon completion of the data retrieval process, an information message “Retrieval of the address/undivided shares/lot information of xx row(s) from the Integrated Registration Information System (IRIS) has been completed.” will be shown.

Q15: If I want to amend the memorial particulars when previewing the memorial form, do I need to amend the source data file and upload the file to the e-Memorial Form (Data Import) again?
A:

No. You may just amend the memorial particulars online by clicking the “Edit” button on the Preview & Print” page when you are previewing an individual memorial form. Amendment made will be saved to that particular memorial form by clicking the “Save changes and close” button.

Any changes in memorial particulars which are made online will not be saved into your source Excel file.

Q16: Why and what should I do if there is a “!” appeared next to the Excel row number on the “Preview & Print” page?
A:

When there is any error spotted in the memorial particulars of e-Memorial Form (Data Import), a “!” will appear next to the Excel row number to alert the user. When relevant amendment is made in the e-Memorial Form, the “!” will disappear. Memorial form(s) with the “!” cannot be printed out for lodging with the Land Registry for registration.

You should review the e-Memorial Form and input relevant information accordingly. You may also use the "Check Data Format" function to check whether the memorial data entered in specific cells of column headings (e.g., "Solicitors Code", "Registration Fee" etc.) are in a correct data format.

Q17: How can I print or download the completed memorial form(s) from the e-Memorial Form (Data Import)?
A:

To print a particular memorial form, please click “Print PDF Form” button on the “Preview & Print” page.

To print or download the whole set of completed memorial forms, please click “Download & Print” button at the bottom right corner of the “Preview & Print” page. A message box will be prompted with the reference number and a download link will be generated automatically. You can download the completed set of forms via the download link in your personal computers/mobile devices.

Q18: Why and what should I do if I have completed memorial forms online but am unable to download them to my computer?
A:

There may be validation error found in any one or some memorial forms. Please check if there is any “!” appeared in the selection list of Excel row number on the “Preview & Print” page. You are advised to review and rectify the error(s) spotted in the e-Memorial Form. Otherwise, memorial form(s) with the “!” cannot be printed out for certification and lodging with the Land Registry for registration.
