(B) Search of Land Records
Land records are maintained by the Land Registry primarily for the purpose of facilitating property transactions. In every land transaction, it is important to ascertain who is the registered owner of the property in question and what incumbrances, if any, are registered against it. The required information can be obtained by conducting land search.

(I) Mode of Search

Counter Search

- At the Land Registry's Customer Centre at Queensway and
the Search Offices in the New Territories, customers
can conduct search of land registers and place orders for
imaged land documents for properties anywhere in the territory
without geographical barrier.
- Inspection of original Government Leases and Block Government Leases is only available at Sha Tin Search Office.

IRIS Online Services
-
- The IRIS Online Services provides users with a full range of search services through the latest web-based technology.
- The IRIS Online Services will be available in two forms: on Ad Hoc Basis and Subscription Basis.
- Customers can make use of the IRIS Online Services to place orders on-line for copies of land records. The delivery methods to receive copies of land records are view by browser, by download, by email, by fax, by mail and by collection over counters. Delivery methods may vary according to different types of land records ordered.

Land Register

- A register showing the ownership particulars of each property and any incumbrances registered against the property, e.g. Legal Charge, Release, Agreement for Sale and Purchase, Court Order, etc.

Memorial
-
- The form specified by the Land Registrar for registration which contains the essential particulars of the accompanying deed lodged for registration.

Memorial Day Book
-
- A record of all the Memorials lodged for registration each day with the essential particulars of each Memorial.

Government Lease
-
- A lease of land granted by the Government including any instrument whereby the term of the lease may have been extended or the provisions thereof varied, and any agreement for a Government Lease such as New Grant, Conditions of Sale, Grant, Exchange, etc.

Block Government Lease
-
- A lease issued for a Demarcation District/Survey District or a block of lots. It contains the lease conditions and a schedule showing the name of owner, area, class and annual rent of each lot.
(N.B.) All Land Registers are computerized and all land documents such as Memorials, Government Leases and Block Government Leases are imaged.
(III) Procedures for Conducting Searches

Search of Computerized Land Registers and Request for Copies of Imaged Land Record
- All search counters provide a one-stop search service to customers for computerized land registers and copies of imaged and documents.
- Customers shall approach a search counter and provide the staff with the following information of the required records and other search requirement e.g. plain or certified copy:

- If the requested records are found, our staff will generate a Pay Statement for the customer to verify. Customers are to ascertain carefully that the requested records and order requirements are correctly shown on the Pay Statement.
- Customers may then settle the payment at the Search Counter with one of the following payment methods: Cash, Cheque, EPS and Credit Card (Visa or Master Card). A customer payment receipt will be generated for the customer's retention.
- In most cases, the requested records will be printed at the Search Counter's printer and the customer will collect the same immediately. However, in some cases e.g. request for a certified copy, the requested records will be prepared at the back office printer. In those cases, our staff will notify customers to approach the Despatch Counter when the requested land records are ready for collection. Customers shall present the customer payment receipt to collect the requested land records.

Inspection of Government Leases and Block Government Leases
- As Government Leases and Block Government Leases are physically stored at the Sha Tin Search Office, customers requiring inspection of Government Leases and Block Government Leases shall go in person to the Sha Tin Search Office to conduct the inspection. At the Sha Tin Search Office, customers shall complete a request form to obtain the inspection service.
- Alternatively, customers may complete and submit an application form for inspection at our Customer Centre at Queensway or any of our New Territories Search Offices. Our staff will fax the application form to the Sha Tin Search Office for follow up. Upon receipt of telephone notification from our staff of the Sha Tin Search Office, customer may then go to the Sha Tin Search Office to conduct the inspection of the requested land records.

Customers must NOT take the land records outside, cause any damage to them, or make any alteration thereon, otherwise they will be committing an offence punishable by imprisonment. After inspection, customers shall return the land records intact to the staff at the Search Counter.
- If customers require copies of the land records, they shall contact the staff at the Search Counter. Our staff will follow up with the customers for necessary payment and provision of the requested copies.

(ii) There are online screen instructions to guide the customers through the search. If customers have any difficulties in using the service, our staff nearby can offer assistance.

(V) IRIS Online Services

Introduction
The Integrated Registration Information System (IRIS) is the electronic platform developed by the Land Registry to provide enhanced services. The IRIS Online Services provides users with a full range of search services through the latest web-based technology. Anyone will be able to access the IRIS Online Services at http://www.iris.gov.hk or through the hyperlink at this website.
The IRIS Online Services will be available in two forms as follows:
- On Ad Hoc Basis
The ad hoc users can access the IRIS Online Services on a need basis. Online payment of service fees by VISA, MASTERCARD and PPS will be accepted to enable searches to be completed at home or at the office;
- On Subscription Basis
Frequent users can use the IRIS Online Services on a subscription basis which offers monthly autopay arrangement, monthly transaction listing by account and other special features. However subscriber has to pay to Land Registry the following fees and deposit for each account:
- fee for application (HK$2,000)
- fee for Supplementary Login IDs (HK$500 each)
- deposit #(minimum HK$1,000)

The amount of initial deposit payable will be worked out by the Land Registry with reference to the monthly search volume estimated by the subscriber. Hardware and software configuration
- Subscribers are required to acquire their own computer equipment, software and skills for reading the data files.
Charges
- Application fee is HK$500
- Subscription fee is HK$15,000/month
- Subscription is on a 6-month or 12-month basis.

The Memorial Day Book (MDB) on CD-ROM contains essential property transaction information extracted from the instruments lodged for registration each day within a calendar year such as nature of instrument, date of instrument, lot and address of property, consideration, etc. The information is particularly useful for property market analysis, valuation and research purposes. The CD-ROMs which cover the MDB particulars for the years from 1996 to 2007 (with each year's data on a single CD-ROM) are now available for sale.
Hardware and software configuration
- Purchasers are required to acquire their own computer equipment, software and skills for reading the data files.
Charges
- HK$2,000 per set of CD-ROM.
Delivery of CD-ROM
- Free courier delivery for local purchases within 14 working days from receipt of the purchase order. Postage will be charged where delivery outside Hong Kong is required.

The Monthly Memorial Information on Mortgage Transactions (MMIM) data files contain essential memorial information extracted from documents related to mortgage transactions and lodged for registration within a month. The information includes nature and date of instrument, lot number, address of property and consideration and name of mortgagee (if the mortgagee is not an individual) etc. The information is particularly useful for property market analysis and research purposes.
Hardware and software configuration
- Subscribers are required to acquire their own computer equipment, software and skills for reading the data files.
Charges
- Application fee is HK$500
- Subscription fee is HK$4,000/month
- Subscription is on a 6-month or 12-month basis.

(VIII) Publication of Street Indexand New Territories Lot/Address Cross Reference Table
- The Index of Streets, House Numbers and Lots in Hong Kong, Kowloon and New Kowloon ("the Street Index") is published by the Land Registry with the primary objective of correlating property addresses with the corresponding lot numbers so as to facilitate land searches in Urban area.
- The New Territories Lot/Address Cross Reference Table ("the CRT") is published by the Land Registry with the primary objective of correlating available property addresses and buildings with the corresponding lot numbers so as to facilitate land searches of properties in the New Territories.
- The Street Index and CRT are updated and released for sale as a new edition annually.
- The price of the Street Index and CRT per compact disc is $250 respectively. The licence fees for the Street Index or CRT for a computer network linked with less than 50 terminals and a computer network linked with 50 terminals or more are $2,000 and $4,000 respectively.
- The Street Index and CRT compact disc and licences are available for sale at the Customer Centre of the Land Registry. Subscribers are required to fill in order forms and return them to the Street Index and CRT Help Desk. Order forms are available at the Customer Centre and the New Territories Search Offices.
