FAQ:
Q1: What is E-Memorial Form?
A: It is the electronic version of the memorial form for registration of instrument with the Land Registry. It was introduced on 26.11.2007. The e-Memorial Form, which is available for download on Land Registry's website free-of-charge, can be saved in to one's computer for direct input of memorial particulars. After inputting the particulars, the memorial form has to be printed out and certified for lodging with the Land Registry. Like the printed memorial form, each printed copy of the e-Memorial form has a unique serial number (called MFI) at the lower right corner and its corresponding barcode at the upper right corner of the form
   
Q2: Is there any different treatment on e-Memorial Form and pre-printed memorial forms?
A: Both the printed copy of the e-Memorial Forms and pre-printed memorial forms are accepted for registration by the Land Registry and will not be treated differently for the purpose of registration.
   
Q3: How to download the e-Memorial Form? Do I have to download it every time for data input?
A: The e-Memorial Form can be downloaded by clicking the icon of "e-Memorial Form" on the main page. You only need to download once for every personal computer.
   
Q4: What are the advantages on using e-Memorial Forms rather than the pre-printed forms?
A: The use of e-Memorial Form has the following advantages:
(a) Once downloaded, the saved template can be used repeatedly.
(b) Embedded onscreen guidance notes and simple validation rules help reduce the possibility of 'stopped deeds'.
(c) Local save function to allow users to save the completed / partially completed form in their own personal computer for follow-up action.
(d) The e-Memorial Form is designed with pre-set fillable and printable format - users no longer need to adjust the printable area to fit in an A4 paper.
(e) The e-Memorial Form is free-of-charge while the pre-printed memorial form is charged with $15 per 100 sheets.
   
Q5: What is the workstation requirement for using e-Memorial Form?
A:

The recommended configuration of computer is as follows:

Q6 Is the laser printer an essential requirement for printing e-Memorial Form?
A: A laser printer is required for printing the barcode of the memorial form properly to enable the deeds lodgement process at the Land Registry.
   
Q7 Are the "Remarks" page printable and should they be attached to e-Memorial Form for lodgement?
A: The "Remarks" page may be printed for reference but you do not need to attach it for registration.
   
Q8 Will the pre-printed memorial forms cease for sale in future?
A: We have no plan to cease the sale of the pre-printed memorial forms at present.
   
Q9 Is there any option of e-submission of the e-Memorial Form to the Land Registry electronically?
A: The e-Memorial Form should be printed after data input and the hard copy should be lodged for registration with instruments. Electronic submission for registration is not acceptable.
   
Q10 Will the e-Memorial Form bear the same MFI if the form has been saved and retrieved for data amendment before printing?
A: The MFI of each printed copy of the e-Memorial Form is assigned according to the printing time rather than the saving time. No matter whether there is any amendment on the saved e-Memorial Form or not, a unique MFI is assigned to each printed copy of the saved form at the time of printing.
   
Q11 Is the format of e-Memorial Form adjustable?
A: The font and its size are not adjustable. For printing the form, please do not change the default setting of the e-Memorial Form as it may result in an incomplete MFI serial number or unidentifiable barcode to be shown on the e-Memorial Form. The deed lodgement process would then be adversely affected.
   
Q12 What can I do if the space provided on the e-Memorial Form is insufficient for inputting the particulars?
A: You can input the particulars with proper references on a separate A4 sheet and have it stapled to the e-Memorial Form printed for registration.
   
Q13 The barcode of MFI and/or MFI serial number printed on the e-Memorial Form is distorted and /or incomplete. Why and what can I do?
A: The print setting of the form should be defaulted to fit into A4 sheet. Please reset the print setting and print a fresh e-Memorial Form for registration. Any change of the default print setting may result in the printing of unidentifiable MFI barcode or incomplete MFI serial number. Any e-Memorial Form with such problems should not be lodged with the Land Registry for registration.
   
Q14 Can we use other software template such as Word/Excel to merge with e- Memorial Form?
A: The e-Memorial Form itself is in fillable PDF format for direct input of particulars. It cannot be merged with the Word/Excel template.
