E-Memorial Form for lodgement

This circular sets out a new service - download of e-Memorial Form from the Land Registry's website - for use by lodging parties with effect from 26 November 2007.

Background

2. As part of our on-going commitment to service enhancement, the Land Registry is launching a new service of providing an electronic memorial form in PDF format on the Land Registry's website. The e-Memorial Form is free-of-charge. Lodging parties no longer need to purchase the pre-printed memorial forms from the Land Registry. They may download the e-Memorial Form to their own computer for direct input of particulars. In parallel, the pre-printed memorial form is still available for sale and will continue to be accepted by the Land Registry.



Additional features of e-Memorial Form



3. To help users in completing the e-Memorial Form, the following features are provided :

  • Embedded on-line guidance notes for each field of the form ;
  • Built-in simple validation rules to trigger error/warning messages for incorrect data entered (e.g. an entry of "30th February 2007") ; and
  • Local save function to allow users to save the completed/partially completed form in their own personal computer for follow-up action.


Access to the e-Memorial Form

4. Users can click the dedicated icon for the e-Memorial Form on the Land Registry's website (http://www.landreg.gov.hk) as shown in Appendix 1 for downloading the form. Client workstation requirement specifications for using the e-Memorial Form are set out in Appendix 2.



Important Notes

5. The e-Memorial Form should always be printed in black ink on a single side of white A4 paper. This ensures that the form will be properly captured by the document imaging system and reproduced clearly for future searching.

6. The e-Memorial Form will generate a unique serial number when it is printed. Once downloaded the template can be used on the computer to prepare any number of memorials. Blank memorial forms should not be printed out and then photocopied, however, since such copies will all contain the same serial number. This will cause delay during registration since duplicate numbers will be rejected by the registration system.
