Land Registry Circular Memorandum (LRCM)

Land Registry Circular Memorandum No. 3/01

24 October 2001

Registration of an Instrument affecting Numerous properties at various developments

The Land Registry endeavours to show the particulars of all memorials lodged each day in the "Deeds Pending Registration" section of the Land Register, the Memorial Day Book and the Unposted Memorial List on the following day.

To achieve this target, Land Registry staff have to enter the particulars of all the memorials into the computer system within the same day of receipt of the memorials. However, from time to time instruments are lodged which affect a large number of properties at different developments - the most common being instruments for Transfer of Mortgages. Without advance notice in such cases, our staff may not be able to complete all the data entry work within the same day. This leads to delays in the provision of information to users of our information systems.

To ensure up-to-date land information for our customers, co-operation is sought from all parties who may have to lodge any instruments that affect more than 100 properties at different developments. You are requested to give advance notice to the Land Registry at which the instrument will be lodged. Preferably the notice should be given two days before the actual lodgement, and a property schedule for the instrument should be given in Microsoft Excel format. This information will enable us to prepare staff deployment and arrange for the entry work before the actual lodgement, so that all particulars for the instrument can be entered on the day of lodgement.

For enquiries, please contact our Customer Service Manager, Mr. W. Y. Kwok, at telephone number 2867 2882 (now changed to 3105 0000).
